Background
South Sudan continues to face complex challenges since its independence in 2011. Persistent conflict, economic crises, and climate shocks have left over 50% of the population facing acute food insecurity. The ongoing fragility of the country underscores the importance of efficient organizational support systems to sustain WFP operations and humanitarian assistance.
Role Purpose
The Management Services (Administration) Officer will ensure the efficient management of travel, protocol, and events services. By supervising related teams and coordinating these services, the officer will maintain cost efficiency, compliance with WFP policies, and high staff satisfaction. The role also involves fostering relationships with the Ministry of Foreign Affairs and other government institutions, contributing to overall operational success.
Key Responsibilities
- Supervise travel, events, and protocol staff, ensuring accountability, safety, and cost-effective operations
- Manage and coordinate travel arrangements at both country and field office levels
- Oversee event planning and implementation, ensuring seamless execution
- Coordinate protocol services in collaboration with South Sudanese authorities
- Monitor travel and event budgets, ensuring compliance with WFP policies
- Prepare periodic reports on travel, events, and protocol services, maintaining strong coordination with government offices
Key Performance Indicators:
- Timely completion of travel bookings and protocol actions
- Compliance with budget and organizational policies
- Staff satisfaction with travel, events, and protocol support
- Accurate and timely reporting
Qualifications & Experience
Education:
- Advanced university degree (Master’s or higher) in Business/Public Administration, Management, or related field
- First university degree holders require additional years of relevant professional experience
Experience:
- Master’s degree: Minimum 2 years in administration, event management, travel, or protocol services in an international setting
- Bachelor’s degree: Minimum 4 years in similar roles
- Supervisory experience and team management
- Experience with UN agencies, NGOs, or international organizations
- Knowledge of visa processes, travel guidelines, and coordination with government authorities
- Data analysis and reporting experience
Skills & Competencies:
- Strong organizational, planning, and coordination skills
- Solution-oriented mindset and ability to prioritize tasks
- Effective communication in diverse workplaces
- High level of discretion and professionalism
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Fluency in English
